Virtugine ("we", "us") provides AI phone answering for businesses ("customers"). This policy explains what we collect when customers use Virtugine, and when people call or text a number answered by Virtugine ("callers").

What we collect

From customers: account details (name, business, email, phone), billing details handled by our payment processor (we never store full card numbers), and the business information you give your AI (hours, services, FAQs).

From callers: the phone number calling, the call audio, a transcript and summary of the call, and details the caller shares (such as their name, reason for calling, or a requested appointment time).

How we use it

To answer calls for our customers, pass messages and call summaries to the business the caller rang, recognise returning callers to that same business, provide support, keep the service secure, and meet legal obligations. Caller information is only made available to the business whose number was called.

Call recording and AI

Calls answered by Virtugine are processed by AI systems to understand and respond to callers, and may be recorded and transcribed so the business can follow up accurately. Customers are responsible for any notices or consents their location requires for recording calls.

Text messages (SMS)

Virtugine sends a text to a caller only when the caller agrees during the call (for example, by saying yes or pressing a key when offered a link), or when they text the business first. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Consent to receive texts is not a condition of any purchase. We do not share or sell mobile numbers or text-messaging opt-in data with third parties or affiliates for marketing or promotional purposes. Mobile information is shared only with the providers that deliver messages, solely to send them.

Who we share it with

We don't sell personal information. We use service providers to run Virtugine — telephony, speech and AI processing, hosting, email and payments — only as needed to provide the service, or where the law requires it.

How long we keep it

Call records are kept while the customer's account is active and as needed for legal, tax and accounting purposes, then deleted or anonymised. Customers can ask us to delete call records sooner.

Your choices

You can ask to access, correct or delete personal information we hold about you, or to stop receiving texts, by contacting us. If you called a business that uses Virtugine, you can also contact that business directly.

Security

We use reasonable technical and organisational measures to protect information and limit access to people who need it.

Changes

We may update this policy; the date above shows the latest version.
